Refund, Cancellation & Chargeback Policy — Gyanbatua.ai

This Refund, Cancellation & Chargeback Policy ("Refund Policy") applies to purchases made on www.gyanbatua.ai and related applications/services (the "Platform"). The Platform is operated by Matrix Secure India Pvt. Ltd. (a Mobiloitte Group company) ("Company", "we", "us", "our").

This Refund Policy should be read with our Terms & Conditions and Privacy Policy.

1) Nature of Products (Opportunity Packs)

Gyanbatua.ai offers one-time "Opportunity Packs" ("Packs") that provide access to paid features for a specific job/internship/apprenticeship opportunity (each an "Opportunity"). Packs may be offered in multiple levels/denominations (currently four levels, which may increase, decrease, or change from time to time).

Each Pack is a digital service and may be provisioned immediately after successful payment.

2) General Rule — No Refunds After Activation/Use

Because Packs are digital services and can be accessed immediately, all purchases are final and non-refundable once the Pack is activated or used, except where a refund is required by applicable law or expressly permitted under this Refund Policy.

A Pack is treated as activated/used if any of the following occurs (including partially):

  • the Pack is linked/assigned to an Opportunity, or
  • any paid feature under the Pack is accessed (including assessments, AI sessions, evaluations, learning-gap analysis, or downloads), or
  • any Pack credits/attempts (if applicable) are consumed, or
  • any report, recommendation, or tailored guidance is generated.

3) Limited Refund Scenarios (Before Activation/Use Only)

A refund may be considered only if all conditions below are met:

  • the Pack has not been activated/used (as defined in Section 2), and
  • the request is raised within the timelines in Section 8, and
  • we can verify the claim using Platform logs and payment gateway records.

Eligible scenarios:

A) Duplicate / Erroneous Charge

You were charged more than once for the same Pack due to a technical issue.

B) Payment Success but Pack Not Provisioned

Payment is successful but the Pack is not reflected/activated on your account due to a Platform-side technical failure, and we are unable to provision it within a reasonable period.

C) Unauthorized Transaction (Verified)

You report an unauthorized payment promptly, and the claim is supported by gateway/bank review and our internal verification.

D) Statutory Refunds

Any refund required under applicable law.

Notwithstanding anything, we may deny refund requests that are inconsistent with our logs, indicate abuse/fraud, or relate to used/activated Packs.

4) Pack Assignment to Opportunities (Key Rule)

Packs are intended to be used per Opportunity.

Once a Pack is assigned/linked to an Opportunity, it is treated as activated and becomes non-refundable (even if you later decide not to pursue that Opportunity).

In limited cases, we may (at our discretion) allow a one-time re-assignment to another Opportunity if the Pack has not been otherwise used and the request is made promptly; this is an operational courtesy and not a refund entitlement.

5) Non-Refundable Situations (Including Common Cases)

Refunds will generally not be provided for:

  • change of mind, mistaken purchase, or purchase of the wrong Pack level,
  • purchasing a Pack and later deciding not to pursue the Opportunity,
  • dissatisfaction with AI outputs, guidance, or results,
  • inability to use the Platform due to your device, internet, employer/institution rules, or third-party restrictions,
  • partially used Packs or Packs assigned to an Opportunity,
  • promotional/discounted purchases (unless required by law),
  • suspected misuse, policy breaches, or fraud concerns,
  • purchases made through third-party app stores/resellers (their rules apply).

6) Upgrades / Pack Level Changes

Pack levels and pricing may change. If upgrade options are offered:

  • upgrades are subject to the terms displayed at purchase/upgrade time,
  • prior Pack value may be adjusted based on usage, timing, and offer terms,
  • once upgraded and used/activated, no refund applies except where required by law.

7) Taxes, Fees, GST, TDS & Cross-Border Transactions

If a refund is approved under this Refund Policy, it may be adjusted as follows:

A) Payment Gateway / Bank / Processing Fees

Refunds may be net of non-recoverable third-party charges, including payment gateway fees, bank fees, chargeback fees, and foreign exchange (FX) conversion spreads where applicable.

B) GST (India) and Credit Notes

Where GST is applicable, we may process refunds consistent with Indian GST requirements, including issuance of a credit note and/or other tax adjustments where permitted.

If GST has already been deposited/settled and reversal is not feasible for that transaction, refunds may be issued as the net refundable amount permissible under applicable tax rules.

C) TDS / Withholding

If any payment is subject to TDS/withholding (India or cross-border), and such tax has been deducted and deposited/settled, the refund (if approved) may be issued net of such withholding.

You may claim such withheld amounts via your tax filings, as applicable. Any certificate/details available with us will be shared as per process and law.

D) Cross-Border Payments and Regulatory Limits

For international cards or cross-border payments:

  • refunds are ordinarily routed to the original payment method,
  • the amount received by you may differ due to FX rates and intermediary charges,
  • where the original route is unavailable due to network/regulatory constraints, we may refund through an alternative compliant method, including INR equivalent based on settlement rates, subject to applicable limits.

8) Refund Request Window (Strict)

You must submit refund requests within:

  • 7 (seven) calendar days of the transaction date for domestic (India) purchases, and
  • 7 (seven) calendar days of the transaction date for international/cross-border purchases,

and in all cases before activation/use (as defined in Section 2). Requests made after this window, or after activation/use, are not eligible (except where required by law).

9) Refund Timelines (Verification + Processing)

We follow a verification-first process for security and compliance.

A) Verification / Review

After receiving a complete request with required details, we may take up to:

15 (fifteen) business days to review and verify eligibility.

B) Processing After Approval

If approved, we will initiate the refund within:

  • 30 (thirty) business days from the date of approval for domestic (India) transactions, and
  • 45 (forty-five) business days from the date of approval for international/cross-border transactions.

C) Factors That May Extend Timelines

Refund timelines may be extended due to:

  • bank/payment gateway settlement cycles,
  • chargeback/fraud investigations,
  • tax documentation (including credit note processing),
  • regulatory constraints or compliance checks,
  • incomplete information from the user,
  • force majeure or service outages.

10) How to Request a Refund

Email [email protected] with subject: "Refund Request – Gyanbatua.ai" and provide:

  • registered email/phone on the Platform,
  • order ID / transaction ID,
  • date and amount,
  • Pack level purchased and whether it was assigned to an Opportunity,
  • payment method and gateway reference,
  • reason for request and supporting screenshots (if any).

We may request additional information to verify identity and transaction authenticity.

11) Chargebacks & Payment Disputes

If you raise a chargeback/dispute with your bank/payment network without contacting us first:

  • we may suspend the associated account and access pending investigation,
  • we may submit transaction logs and usage/assignment records to the bank/network,
  • where permitted, you may be responsible for chargeback fees and administrative costs caused by invalid disputes.

We encourage you to contact us first to attempt a resolution.

12) Changes to Packs, Pricing & Policy

Pack levels/denominations, features, and pricing may change from time to time. This Refund Policy applies based on the version effective on the purchase date unless required otherwise by law.

We may update this Refund Policy by posting a revised version on the Platform with a new effective date.
